Health and Safety Assistant

Job Details

EDUCATION:
• Bachelor’s degree or equivalent required.
• 10 years of HSSE job related experience.

MAIN ACTIVITIES AND RESPONSIBILITIES:
1. Support the H&S Manage:

• Provide professional health and safety information, advice and guidance on all health and safety matters to all staff and contractors, acting as the competent person and make decisions in the absence of the H&S Manager as necessary.
• Assist in the administration of the health and safety budget and liaise with the Legal & Risk Manager and finance staff as necessary;
• In co-ordination with the H&S Manager assist in ensuring all health, safety and environmental audits and inspections are all performed and recorded.
• Organise and manage own travel and accommodation arrangements in pursuit of fulfilling H&S duties.
• Assist in the performance of risk assessments (General, COSHH, Manual Handling, ergonomic etc) as appropriate, as well as monitor, verify and record risk assessments and method statements promulgated by other departments and contractors.
• Assist in planning and maintaining the itinerary schedule for the H&S Manager and Department, liaising with the Planning Department, as necessary.
• Carry out general administrative functions including requisitions for stationery and safety signs or equipment:
• Act as administrator for safety management software systems, including the training of members of staff as required.
• Assist in the administration of the accident recording software system, monitoring and verifying accident entries as appropriate as well as provide accident statistics and reports as required. Maintain adherence with, and assist in the review and development of, the Health & Safety Department’s Operating Manual.
• Provide Health and Safety training as directed by the H&S Manager.
• Assist in the organisation and control of Fire Marshals and First Aid personnel.
• Oversee and maintain engineering safety equipment registers including lifting accessories, working at height and hand vibration tool equipment and lighthouse safety equipment.
• Ensure all H&S Department monitoring equipment is maintained and calibrated in accordance with manufacturer’s instructions.
• Assist in the performance of quality audits.

2. Organisation of Health and Safety Meetings:
• Organise and provide secretarial support to all relevant Health & Safety meetings.
• Represent the H&S Manager at appropriate meetings as directed.

3. Health and Safety Reports and Documentation:
• Raise H&S inspection reports and raise appropriate work orders onto the engineering software system, monitoring progress for the correction of defects and anomalies from inspection and audit reports. Follow up accordingly.
• Process confidential Accident and Injury Reports, in accordance with legal and requirements.
• Act as an Accident Reporting Officer for Harwich depot and other areas as required.
• Assist with the preparation of accident statistics for the H&S Manager ready for issue to Directors, Managers, and Safety Coordinators.
• Maintain the Desksite/Worksite health and safety documentation.
• Assist in maintaining records of test results, for mercury/ blood tests and administer the issue of the necessary equipment to obtain the samples.
• Maintain Equipment Registers.

4. Other duties:
• Carry out internal management system audits.
• Co-ordinate the Health and Safety Office functions.
• Provide advice on Health and Safety matters.
• Carry out audits, inspections, and investigations.
• Financial Administration of the Department.
• PPE´s & Stock Monitoring.


Skill:

TECHNICAL SKILLS:
• These will form a key part of your Technical Skills within the Performance Management process.
• Some knowledge of construction site health and safety.
• Training and experience in the inspection of lifting accessories.
• Some experience as an auditor (or similarly accredited auditor).
• Self-motivated and able to work alone.
• Good organisational skills.
• Secretarial skills.
• Computer literate, (Microsoft and ability to operate corporate software).
• Good presentational skills.
• Ability to prepare management reports.
